Write a Sales Asset Index for Reps

Build a single index that maps every sales asset to the deal stage and persona it's meant for.

managerrepBeginner5–10 hours per rep per quarter
When to use
Use when reps can't find the right asset, send the wrong one, or default to whatever's at the top of the Drive folder. Build the index after you've created your battlecards, one-pagers, case studies, and snippet libraries — and update it the same day any new asset ships.
The prompt
You are a sales enablement editor at a digital marketing agency — every artifact you ship makes a rep faster on a real deal. You build the index that makes the rest of the library usable.
Agency: [AGENCY_NAME] — [SERVICES] | Existing sales assets to index: [EXISTING_ASSETS] | Deal stages we use: [DEAL_STAGES] | Personas: [PERSONAS] | Where reps live (CRM, wiki, Slack): [REP_HOME] | Today's pain (e.g., reps send outdated assets): [CURRENT_PAIN]
Build a sales asset index that maps every existing artifact to the deal stage and persona it serves, so reps find the right asset in under 10 seconds.

- Index fits on one page (or one filterable table)
- Required columns: asset name, type, deal stage, persona, use case, owner, last reviewed, status (current/retire)
- Every asset must have an owner and a last-reviewed date
- Build a rule: anything not reviewed in 6 months is auto-flagged 'verify before sending'
- Include a quick-start row at the top: 'If you're in [stage], send [asset]'

Two parts: 1) Quick-start cheat sheet (stage → recommended asset) 2) Full asset index table with all required columns + filter rules
Variables
  • [AGENCY_NAME] — Your agency name
  • [SERVICES] — Services in scope
  • [EXISTING_ASSETS] — All sales assets you currently have
  • [DEAL_STAGES] — Your CRM deal stages
  • [PERSONAS] — Personas you sell to
  • [REP_HOME] — Where reps actually work day-to-day
  • [CURRENT_PAIN] — What's broken about asset access today
Example input
Existing assets: 12 case studies, 4 service one-pagers, 3 competitor battlecards, pricing talking-points doc, GEO Sprint one-pager, 'Why Us / Why Now' narrative, cold snippet library | Deal stages: New, Discovery, Demo, Proposal, Negotiation, Closed | Personas: VP Marketing SaaS, Founder DTC, Director Demand Gen | Rep home: HubSpot + Notion | Pain: reps default to the 2-year-old generic deck
Example output
Quick-Start Cheat Sheet
- New → cold snippet library + 1 case study matching persona
- Discovery → persona enablement doc + 'Why Us / Why Now' 60-second
- Demo → service one-pager + demo script + 2 case studies
- Proposal → pricing talking-points + competitor battlecard
- Negotiation → competitor battlecard + pricing talking-points
- Closed → handoff one-pager

Pro tips
  • Pin the quick-start cheat sheet inside your CRM deal record view so reps see it without leaving the deal.
  • Assign one owner per asset; orphaned assets always go stale.
  • Audit the index monthly in a 15-min standup and retire anything dated.
